I put a digital camera next to the -80. When someone takes out a box, every now and then, they snap a picture, showing the box label and all contents (flat cap tubes only, with writing on top). The pictures are stored on a nearby computer.

This gives us basically all we need -- a way for people to sift through the samples, without needing to open the freezer door. It is more awkward to use than tracking software, but the great advantage is that that nobody needs to keep any kind of active record of what they did. Mistakes correct over time, rather than accumulate.

And if somebody does need to index something, they can still do that from the pictures.

Quartzy is a website. Really easy to use, free and accessible from any computer. Gives you a wide range of possibility for inventory management. The down side is that you have to have a real inventory and to input all the data on the site! But it's working great for us ! :)

Yep for free lab management the best one is Quartzy. If you are willing to pay (it's not that expensive) Labguru is also a nice lab management website. Since it's paid you have at the moment more options in Labguru than in Quartzy, but Quartzy is gaining terrain.

Thank you all for the suggestions. I have also checked quartzy a while ago and got the same impression that was more suitable for reagents, but I will explore it further.

John, you have an alternative option, but that will not work for us. We will need easy/fast acess to extra information like how many times a sample has been used and some other notes. Thank you.
