My University will be hosting an International Conference in the third quarter of next year. The ICT Unit, where I am currently serving, has been mandated to publicize this conference to all parts of the world by sending conference flyers, invitations and other information to academics and researchers. Consequently, we need information on how and where we can access email databases of academics and researchers to enable us carry out our assignment successfully. I have been receiving such messages but I do not know how the organisers used to obtain my information.

In individual countries, especially outside the European Union, there are different legal regulations relating to the legality of obtaining and processing personal data, to which usually also specific contact details, including email addresses, are included. In many countries there are marketing companies that collect certain categories of contact details from various websites where users have allowed the processing of this information for marketing purposes. Some of these companies sell these email address databases to other companies that later send their offers to users by advertising certain products or services. If you plan to invite people from all over the world to the said Conference, then the above issues of differences in legal norms should be taken into account when acquiring and processing personal data. Probably the simplest solution would be to provide on this Research Gate portal a description of the issue of this planned Conference by posting the Invitation with a detailed description of the Conference issues, including titles of planned panels and lectures with the addition of an e-mail address to which the persons interested in the Conference will report. The interested parties will send their applications to this Conference to the e-mail address provided.
